Hello hope everyone's doing well today so excited to get started with week six of our live admin course I am at my mother's house today. I don't know if you remember
Last week at this time at the start of this live session were some concerned about her health and well being and she ended up having a stroke. Actually she's doing well, she's back home. It was a minor stroke.

So that you got everything covered that you needed to for that week's content. And so let me get going here, and let's dive in and I've got a little bit different setup so hopefully I'll be oriented. Right. And we'll, we'll get through this together. So, so this is week six and

And then also, we're going to be looking at several different knowledge areas this week as far as activity management and
And then as well. A newer feature for the activity timeline or Related lists as far as how to represent activity management on the page layout.
We're also going to be discussing collaboration and collaboration is chatter. And then the final knowledge areas for tonight is data management. So we're going to be looking at the Data Loader day import wizard.
And things around duplicate rules matching rules and some of those things related to data quality and data management on the Salesforce platform so

Let's do the
Week five assignment recap.
So last week we looked at service and support applications.
And the underlying support processes. And if you remember from our studies over these past several weeks, we have three different processes available in Salesforce, there's
The lead process, the sales process in the support process. And that's the support process that controls the status designations.
On a case records. And so then anytime you create a support process. You also need a cake record type. And so we looked at creating different cases record types.
As well as Salesforce knowledge and then as well email the case in web two cases. So just as a reminder, if you have any questions at any time during our live session today, you can put that in the Q&A section and I'll get that answered as I can so
So let's look at activity management now activity management can be several different things and it's a smaller knowledge area on the exam.
But I want to demonstrate some of this on the Salesforce platform as well. But when you think of activity management.
That typically involves tasks events emails and logging calls now.
I often relate activity management in Salesforce to what I'm familiar with having dealt with Microsoft Outlook for many years.
Now in Outlook you one thing that you do is you send emails. It is a email program that is oftentimes found in a corporate environment.
So you would use oftentimes either Microsoft Exchange or Microsoft Outlook to send emails.
And if you're wanting to schedule a meeting that is typically an event in Outlook and then as well. You can assign tasks to yourself and outlook and those are reminders or you can
assign tasks to other individuals and that can flag them or get their attention with a set due date as well.
The same holds true the same concepts can be done inside of Salesforce and that all of the that umbrella of things is known as activity management.
Now another thing that you can do inside of Salesforce is log phone calls and that can tie into whatever record you're dealing with. And so let's look at
What activity management looks like inside of Salesforce and try and follow along as you can. And so I'm in Salesforce and let's say that
Let me pull up my app launcher and select the cells application.
And let me just pull up an opportunity
So on an opportunity, the way that we have the interface laid out typically as a default the activity tab comes up first and under here is where
A lot can be done related to activity management now with opportunities. The way that this is default inside of Salesforce.
Is that the left, two thirds is activity management here and then the right right and most third of the screen are the related list. Now, depending on the type of object that you're on.
That may flip, basically. And there's some kind of mixed opinions on whether that's good or bad. It kind of leads to an inconsistent user interface.
And the intention is what the intended most common use case is for different types of records.
So I think that sales forces thinking is that with opportunities, you will be dealing more with activities and details and chatter here on the left, more than related list.
Now, if you were to look into the account. It's kind of flipped the inverse and the related lists are on the left and then the activity management. So on the right.
There is a way to bring that to conformity. You can customize this but for now let's just focus our attention on the activity management how this is laid out. And what this means. And so the default option here is to create a new task. And as I mentioned, whenever you create a task.
It is intended to be a reminder for either yourself or someone else to do something.
It's not like a meeting. There's no physical location. There's no agenda. Usually it's just like, Hey, Mike, you need to call on this customer or you need to mail this
And I've seen processes done in Salesforce platform to where if there's some sort of off platform event that needs to happen. I'm trying to remember what it was. It was a
It was a pharmaceutical company and we had to have them ship out a brochure anytime a new customer signed up. And that was a manual process they needed to
Actually get an envelope, and I think they ran. They stack those somewhere, but they would have tasks on an automated
Through a workflow rule and a task creation, it reminded someone whenever a new customer came on board.
We need to send a brochure to this person and so then once that was done, they would go in and market is complete.
So let's, let's just do that as an example. Now, now my setup here. I'm in a spare bedroom of my mother's house bless her heart. And so I've got my laptop precariously so that the
camera angles, right, you got to think about these things. But right now, my laptop is on a board game box and my monitors over here to the left. And so
It's a little disorienting for me. So anyway, let's do this. And hopefully I don't. Not my laptop off the box. So, the box is catchphrase. So that's the board game in case you're curious. So anyways, so that's a sin brochure.
And then a due date you can specify when this needs to be done by click the calendar and
Select a day.
And you can associate this with a contact
And here's where it's assigned to myself. By default, whenever you go to create a new task it defaults to
Assigning that to the individual as creating it. But you can assign a task to someone else and then the status is you can set that either not started or in progress, just in this is all customizable.
As well. And we've got not started in progress completed waiting on someone else or different. So I'm just going to create this with a due date of tomorrow.
And click Save and so you notice here, down below in this feed. We've got the either upcoming are overdue section down below here and this task here.
Is showing up that is due tomorrow. Now, once I've completed that task. I can just simply check it as complete and it'll just strike through through that and then I think it refreshes eventually
Oh, I've got a market.
Okay, yeah, I did. It took a minute for to do the check through so shows that it's completed now. Okay. So in addition to tasks. You can also, as I mentioned,
Log a call. Now this is something you can do in desktop environment in that as well and Salesforce mobile. One thing that is nice. Just the way that
The Salesforce mobile app works is anytime that you call someone from the Salesforce mobile app. Whenever you hang up on that phone call.
It brings you back to the Salesforce mobile application. It hasn't for whatever number that you tapped on for whatever record you were on it has the log a call.
Window up so that you can log that call that you just hung up on basically so
The subject defaults to call because you're logging a call. You can adjust that or change that you can specify the contacts that you call and I'm just selecting
A baby bear and then making any notes related to that call the idea of behind customer relationship management.
Is to keep track of your relationships with your customers. And so any log calls is to remind yourself as a salesperson. For example, but also to inform others that are looking at these writers to know
Whom spoke to whom and what time. And what about so I'm just gonna make a few notes, real quick.
And then as well. It's related to the account that this opportunity belongs to. So this is a log call related to this opportunity and also is related to
The contact of Betty bear and related to the account of American banking Corp. So it's pretty cool functionality so login a call clicking Save.
Toast message appears at the top task calls said so treated like me task, it's kind of confusing because this task call say
So down here we have a call and he noticed that the icons are different depending on the type of activity that you're doing.
We had a task and it has this type of icon and then the call and there's a logged completed call
And that was completed today with the notes around that as well. Now you could create a task to remind someone to make the call and then they could complete that task log the call that sort of thing as well.
Now an event is something that is more like scheduling a meeting that may be a virtual meeting or an in person meeting.
Now granted, there's not a lot of in person meetings going on right now, thanks to the coronavirus and hope everyone's doing well out there and staying safe and I'm trying to learn not to touch my face so much. I'm getting better.
So I know a couple of weeks ago, I was noticing how I was touching my face so much. But anyway, so far so good for the wheeler household and
Alright so Wayne is saying, I do not have the event option.
Not sure why you wouldn't have an event trying to think why that might be.
It may be
I'll need to look into that a little bit. But there's actions from the page layout editor, where you can add or remove those.
But I can troubleshoot that some some more may have to look at that, during the break or something. But for an event.
It's much like scheduling an event in Microsoft Outlook. If you've ever scheduled a meeting or acid want to send you a calendar invite
Or in Google Calendars while or any other sort of Calendaring system, typically you will have a subject, you will have a date and time of started in time.
And you'll have the option of making this an all day event if it's some sort of offside meeting, you can just select that. That way, just blocks off the calendar for that entire day.
So let me let me throw this in here.
Just say webinar.
So let's say that I was doing a webinar from three to 4pm and here's for your logo, your own
Personal I just touched my face. Notice that my nose suddenly start switching my notice when I mentioned how well I'm doing touch my face that goes that any who this is where your, your own local timezone comes into play a default to that here for you and
You can give a location here is going to say online click Save.
So now there's an event that was created webinar. It's an upcoming event set for three o'clock today. And then finally, you can send emails. This is another thing that falls underneath activity management, even though it doesn't get as much attention as the other three now.
It defaults to from addresses coming from myself or whatever email addresses associated with my Salesforce user account and then you much like with any other email program you can put in email addresses. I'm just going to email something to myself.
As you're typing, you know, some brings up any matching results there, which is nice and subject.
And then you can just put in the body there. And also it's a busy wig editor you can include hyperlinks images and the whole nine yards. You can also manually remove this
It also create templates as well.
See, so let me click Send a sending email.

You notice in the activity timeline. You're starting to see some distinctions between these different activities.
There's the upcoming and overdue The webinar at three o'clock today is that come in. It's not overdo yet. And then there was there completed are down here below. And now you can

So activity management.
I don't know if you can see my cursor not share my screen. I've watched replies and I don't see the pin will. So, can, can you see my cursor or not. It's kind of weird. So
Alrighty. And you can see my cursor. Very good. Alright, so let's do this. Let's get back into
Back into here. Alright so activity management and for quite some time. I would think that activity was some object unto itself and
This was early on before lightning in the way that classic works is that the way activity management is displayed in the setup was really confusing.
Because you'd have activity management, you have activities would have task events emails and so anytime you see the price.
Or the knowledge very actively management. Just keep in mind there's typically those items that you see inside of the where you can post to chatter as well.
As different actions of different activities that would be task events emails and then as well. Logging calls. Okay, now
I want to show you a setting to where you can change how the layout appears as far as your activity timeline.
Or instead of having the activities appear in a related list. And that's under
The record page settings. Now I'm in. I'm touching my nose again. But at this point, I'm going to get it. I'm going to get it. And so anyway, especially around all the hospital stuff I've been around. I've seen some sites. Let me tell you.
Now with that said, let's get back in focus on something other than my nose, shall we. So this under setup user interface record page settings. There's the settings around how
The activity timeline or Related lists appear. There's also another setting.
That can influence or bring more consistency to how your pages are laid out as well. So let me show you this. So, but I've dealt with this across multiple classes. And I've tried to remember. Where's this thing at
Searching for to set up and couldn't remember and I finally found it. And unfortunately you can't just search for activity timeline in set up and get to this.
You've got to know just you just got to know that it's under record pace settings. So I wish there were some alternate search options and it was a little more intelligent that I had so that I can be less intelligent but oh well. So under user interface is record page settings.
And at the top here.
An option which is defaulted to group view in this is where it divides record information into groupings across multiple regions and tabs is the interface that you're used to seeing.
And I'm not going to change it over to full view. It's in beta right now, but it gives you a more data dense view you can toggle that back and forth and see
what the differences are between those two views. If you'd like and see what you prefer. As far as the default group view versus the full view.
If you remember I mentioned how depending on what type of record, you're on the activity management, but maybe the left, two thirds of the right one third, and go into the full view brings more consistency across all objects. So that is more consistent interface.
But it's still in beta, so I'm not worried about that so much. But what I want to show you is this default activities view. And this is why I'm even going into this screen is related to activity management.
And it's defaulted to the activity timeline and we saw that in that the completed things were down below. And then the things on top word upcoming we're overdue. Now we can change this to Related lists and
And also, just a quick note we can change or choose the default way users work with activities on the record pages.
The users can change this preference in their own user settings.
And we're going to look at user settings later on today probably after the break. When I look at how to get to your security token for the Data Loader so something you'll need.
So hopefully I'll remember when I'm there to show you where that change is as far as changing that back and forth, that would be user customization must change the default though to Related lists and click Save.
A record pace settings were updated. So let me close that me go back to my opportunity that I was in. So this would be the
Timeline View, which if I go back here. This is activity timeline, which was the default change the related list.
So let's refresh this is go from this will take us from timeline to relate list for activity. Let's see what happens here. And hopefully something happens.
So it's fun doing this live because when you're recording, you can just go, Oh, what happened and figure it out. But lives like, Oh well. So. Alright, so now
This looks vastly different. So you notice now that under Related lists are the open activities.
Which is the upcoming webinar and then activity history or the completed activities. So depending on your preference, you can have activity management display.
In two separate Related lists. One is for activity history for those things have been completed and an open activities for things that are upcoming are overdue.
And then here we can do a new task and do events and then interactivity history.
We can log a call, send an email that was one thing I was curious about, where did these things go so I can touch my nose again. So anyway,
But that is the record page settings. And so we're on Related lists. So let's go back to activity timeline. Personally, I like the activity timeline myself so I'm going to click Save to bring that back.
In so they will refresh to make sure everything is back to how it was okay.

spacing out there for a second. So alright,
Pretty cool, though. And that's, that's a newer feature, probably not on the exam yet but just in case I wanted to mention that
And just as an aside, related to the exam. If you haven't seen those from Salesforce, as with all things. The coronavirus is impacting everything across the globe, one of which
Is the test taking experience most of the testing centers across the globe have closed down. So you cannot do an onsite test, there's a growing list of
Test locations that have closed and so on week nine which were three weeks away. I'll be going over testing online versus on side how to register for your exam and all that.
But there is a long and growing list of test sites have closed down. What that means is that almost everyone across the globe. This want to pick a certification test.
Needs to do that remotely from home now. There used to be a requirement to have an external webcam.
To take an online test from home in Salesforce is waving that now so you can use a built in webcam on your laptop, for example. So that is one
Less barrier to entry for testing remotely. I think that's a good mood, that's a smart move.
And they've done a few other things that don't apply if you've not attained your certification, one of which
Is they've delayed the maintenance exams, for I think the deadline was April tans when they push that off indefinitely. So that certified individuals don't have to complete their maintenance exam until much later, after all this is hopefully blown over, I guess so. So there's that now.
Let's talk about what's next, which is collaboration. Okay, now collaboration is a buzzword and collaboration means that you collaborate with others, or you work well with friends, you work together.
And collaboration, if you see it on the exam, nine times out of 10 they'll be inferring or referring to chatter
Now there. I've seen more and more one of sales forces recent acquisitions is a company called clip, clip does documents and allows you to share documents across different quick users.
And I'm seeing collaboration come up there as well. But typically, if you see collaboration. Just think of chatter
Chatter it collaboration is not weighted heavily on the exam. It's like 1% so you may or may not have a chatter question.
I have had students report that they had multiple questions related chatter on their exam.
And just as a quick aside or word of warning is just because chatters mentioned as one of the possible answers across five or six questions.
There will be probably only one question on the exam related specifically to chatter now chatter may come up in other instances related to security or custom objects or some other knowledge area.
But chatter specific there's only going to be one question. Okay, now also bear in mind as you're taking your exam, you may have five upgraded questions. So it is there that you may see an additional question or two related to chatter
That may not be graded. So I guess you could in theory have two or three or four chatter questions, but notice some of those are probably on graded questions if you have 65
Questions instead of 60 okay now collaboration equals chatter about a list of things here as far as what you can do with chatter
As far as following users. I'm going to show you some of this as well. And you can create hashtag topics and I'll share that link with here momentarily for later reference as a YouTube video that I created some time back related to create topics. So let me
Let me show you some things on chatter and so you should have a chatter tab in available to you.
And then as well. Just another option you can create chatter posts on individual record or you can also access the chatter application now.
Kind of does need to be enabled for your work in some orgs don't in May will chatter. I've worked in instances where companies did not want to use chatter others that did
And so let me find chatter here by searching Salesforce Chatter and so it is. It's also its own standalone application.
And has a home screen and then the chatter tab is where you can get into some things that you may find on the exam. I'm not going to guarantee that these things are going to be on the exam.
But you do need to pay attention to these items along the left whenever you're in the chatter application. What I follow to me bookmark company highlights in my interest.
There may be a question related to something along the left here. And so I'm going to just tell you pay attention to those things now.
You can share an update. And I'm just going to do chatter posts here and demonstrate some of this. Now, if you've ever used Twitter familiar with that that as you can. That's really where
At mentioning other people really gain steam out there in society and so chatter can do the same. You just start typing the at sign is let me let me add mentioned someone other than myself.
And as you type any matching users appear as a potential matching result.
And then you can select them. Now the app mentioned isn't as easy as just doing ad and type in their name. You've got to have the brackets around their name. So that's hyperlinked
To there and associated with her user account and then when they get notified and so I'm saying an integration user. Hey, check this out.
And you can also create topics I mentioned that topics are created by way of using hashtags.
Is hashtags are way of categorizing things in Salesforce calls them topics. So if you see anything about topics on the exam. That is the hashtag in chatter
So let's say we're doing hashtag admin and notice it says press Enter to ask for press enter and it does that same sort of format there. It has the hashtag and the inside the brackets is admin. Let me do another one will do hashtag.
Inner so I'm doing a few things here with this chatter posts. I'm doing at mentioned and a couple of topics in this well this is busy wig. So you can bold italicized insert images and sort of links etc etc. I'm going to go and share this
And so now here is a chatter posts that I created and a few topics. Now, you can click on a hashtag underscore topic.
And this takes you to the homepage for that topic now and you can see any posts for that topic in the feed.
And it's just showing that there's one post here. Now you can follow just about anything inside of chatter even topics. So if I wanted to follow all updates that have the
Hashtag admin in my Salesforce instance, then I would be able to receive notifications anytime there was a new post that someone posted with hashtag admin, for example, now
Let's see what else we can do shower, I can click the down arrow here. I can edit or delete my post because I'm the author of it. I can bookmark that for later reference says bookmark was added and you see the little star here and then also I can pin this
Close to his pin so pinning a post just puts it at the top of the feed for this particular topic. Now if I go back to my chatter page here.
I I noted that these links with what I follow now. Previously I followed, just a minute ago, the topic of admin. So if I click on what I follow
You'll see that disappears here because I'm following the hashtag admin topic and then bookmarks. Also, it appears on your bookmark because I bookmark this post as well. Now,
A few other things you can do here.
In addition to individual posts is you can create what are known as chatter groups.
And typically, if you don't have any groups. There's by default and all internal users chatter group are all company, why I can't remember what it's called.
But you can create chatter groups in let's say inside an organization with 1000 users. There were 10 people that were studying for the administrator certification.
So you could create a group just called admin certification study group or something like that is a study group. So I'm not typing too long. And you can provide a description. I'm going to go ahead and type something here, just so you can see where this falls into play.
As well, what you see is what you get and then say the next live when I do wrong.
Access time wasn't done do public or private
I'm not going to allow customers that would be those that are part of the community or you can open that up into a community for your customers as well when click Save and next
You can upload an image to brand that group. Further, and I'm going to add the integration user to this group as well and click that.
And so now I've got a chatter group called study group. Here's where the image would appear
And here's the description that I typed in. Here's the more information that I typed in. So you can also, in addition to posting to an individual record or to just a chatter post update from the chatter app, you can post from inside of the group, you can create a poll. You can ask a question.
There's a lot of functionality that you can do, and I go into all that and the assignments, but I wanted to show you groups as well. That's something that kind of gets
forgotten about another cool thing. If you want to send it if you want to do chatter through email. Here is the group email. I'm wonder if we should like to give you this email you can send an email and see if it appears here.
I can join the group, huh. Yeah, that might not work, Sandy, who we want to do that because it's going to blow things up. So here's our members right now if I did open it up to customers, then you could request access but we're not going to do that. Any who, alright.
Back to this, let me
Let me talk about streams streams are pretty cool. And I'm trying to think of what would be good for a stream. So if we go
Back into the chatter tab and this is another thing that appears on the left here.
Are streams now streams are with customizing things that you care about and grouping them together so that you have a stream related to certain things and you can have multiple streams.
And one string, maybe about generators and other stream may be about internal HR issues and a third may be related to the certification group, for example, but if I create a stream.
You can select what records.
That you want to include in the stream, whether it's counts cases, etc. And even topic. So you could have a stream that is related to admin, but not certification and be notified of every post that that
Is involved in. But let me add a few other things. So let me select accounts.
American banking core and you can mix and match this let's do get a vetting bear good friend, Betty. Remember when we converted her from a lead to a contact. Remember when
So this is just a combination of things in the industry would appear any updates related to the admin hashtag and or American banking core updates on the account record.
And or any updates to baby bears record as well. It'll notify me of every post or I can just say never NOTIFIED ME I school look in the street. So when you click Save.
So now we've got our sample string and
Because of the admin hashtag that is something that appears in the stream and let me

Not sure if I've enabled chatter feed tracking. Let's just do a post
Post here is sure that I didn't mention a topic, but it was a date on the American banking court, we go back into chatter
Is now a couple of things to note, miss. Pretty cool. I'm testing this outlines and kind of have a few hunches as to how this might work.
One is I did a chatter post on the American banking core account that is one of the items that I wanted to follow be alerted about for every
Update. So I didn't change any fields on the American banking Corp account record, but I did do chatter posts, so is my stream here because that was included in the stream is not the top though because I pinned this particular post in so I can pin this well says removed bookmark.
So I did pin that the pinned it to top or whatever. So anyway, but
So that's how a stream works. Now you can create multiple streams, the intention of that is to provide you with ways of grouping.
Things that you follow and chatter. Now I want to talk about following for a minute because you can follow
Users in over here in the ride is saying, here's some Einstein recommendations of people that I could follow this would mean that anytime securities or, for example, does something of note in chatter. I could receive updates related to that person. You can follow other users. You can follow
Record records with me.
Me go into
A different application here.
And I've seen instances of people following like refrigerators or jet engines. It can be anything. Remember, an object is a person, place, or thing. It's like a noun. And I mean leads right now and let's just look at an open lead and let's say that I want to follow Brendan mclemore
Saw here. The follow buttons up here so I follow that. So I can follow

So let's get back into things we're going to be talking about data management now and let's get that going.
Alright, so for data management, there's two primary tools that you'll use for data management and be concerned with on the exam, and that would primarily be
Either the data import wizard or the Data Loader now there's different limits and use cases for each that we're going to be looking at. And that will help you to determine what the right answer is on the exam one example.
Would be that the data import wizard. It can only support 50,000 or less records and then as well there's a limited number of standard objects that the data import wizard supports. And so depending on
your use case or the scenario on the exam that will be some clues to help you know should use the data import wizard or the Data Loader
The data import wizard is a little more user friendly and it has a step by step wizard based user interface. And so it is typically easier to use than the Data Loader the Data Loader is much more powerful tool. It is more complex to use and I'll show you both of these here momentarily.
If we go to set up a search for data.
There's the data import wizard link under integrations, and then Data Loader as well. Now, in addition, there's a newer tool.
In function called Data loader.io which performs very similar to the Data Loader program. Now I'm going to show you real quickly before we go into the
Data import wizard this link for data logger will take you to links related to installing the Data Loader on your machine.
The Data Loader is a third party tool or it's a tool that's downloaded and installed locally on your machine is an instance where most of the things you do are in the cloud, quote, unquote.
But the Data Loader is a tool that you need installed on your own machine. So there's links for download and for instructions related to Mac and Windows Data Loader
Now for day import wizard. That is a tool that's available inside the Salesforce platform so clicking on data import wizard. A few things to note is that
One, it knows this 50,000 record limit you can do 50,000 records at a time as a hard limit with the data import wizard. So if you see on the exam.
That you need to import for example 100,000 records thing, you know, that is not the data import wizard. You could technically do that but you'd have to chop it up into 250 thousand
Records sets in order to do that one. And then the other. So the wizard is three easy steps, if you will. You choose.
The data to import you edit the field mapping in your review and start the import. Now we're not going to go through the entire step of doing a day import here live
Because of just some complexity around that potentially and I'm anticipating that someone would have some issues with something that mapping correctly. And I do
Also spell all the sound in the assignments as well. But I do want to speak to some things that didn't go into an assignment so much that will help you on the exam.
And you know, we mentioned the magic number 50,000 in that spelled out here as well. You can import up to 50,000
You notice as well that you can import records, but you can't delete records using the data import wizard is a data import wizard, not a data delete wizard. So
And also mentioned that one of the limits was there's a limited number of standard objects that the data import wizard supports.
I don't know why that is, but it just is what it is accounts and contacts is one
Now when you select a standard object, then he says, Good job, like I've really done something here. It's kind of funny.
Because taking you through and tracking your progress. The next step would be wondering what to do.
With these records. Do you want to add new records update existing records or a combo deal of adding new and updating existing records at the same time that is known as an absurd and we'll see absurd whenever we look at the Data Loader up cert is what that is.
A combination of update and insert okay now accounts and contacts is one of the standard objects that's available that as well. Leads is another as well as solutions which is an older
Tool. That's kind of on its way out the door, if you will. And then finally, can really up to one campaign members.
And I'm surprised that solutions and campaign members are supported by the data import wizard in yet, things like cases are not supported.
By the data import wizard. So it would be a good idea just to be safe to know
What standard objects are supported by the data import wizard because either on the job or on the exam. You may be asked to do an import of
In addition, you can import records related to any custom objects, you may have in your org not in this instance, I just have automobiles as custom object.
You may have more or you may have none, depending on where you're at, with your homework and your trailhead work.
If you may have a dozen custom objects for all I know. But typically, if you have a custom object, you can import into your Salesforce instance using the data import wizard. As long as it's under the 50,000 magic number now in the assignments. I do take you through the process of importing
A fortune 500 CSV file. Now in this typically what you'll do if it's a brand new instance, you don't have a lot of data and you're not worried about updating existing data, you would be doing an insert of new records.
And I take you through the process in the assignment of inserting a fortune 500 CSV file, it's a comma separated value.
File. That gives you then 500 contact records that happened to be the CEOs of the 500 largest companies in the world through the fortune 500
List, and that's a CSV file. I'll give you that link as well. At the end of today and you'll see it also in the assignments and then
You select your CSV file and then you've got the map the fields and all that. Now, that's what's I guess special or needs to be known about the data import wizard.
Now related to the Data Loader. Let me go back here into the setup home. And let's look at the Data Loader
Now, you've got to have this installed and we're not another reason we're not going to do the installation or lack of support the installation of this live
Is you also have to have a Java thing installed on your machine. The open JDK 11 this always changes all the time. So I do encourage you
To look at the either Mac or Windows installation instructions to make sure that you have everything on your machine that you need. Now, okay, it's my nose.
With that said, let me show you.
The Data Loader so the Data Loader is let's see if I'm still logged in or not. So I previously before going live
I logged in using the Data Loader. So at this point, I've got my Java JDK installed. I've installed the Data Loader and I'm on a Mac.
So when you launch and once you try to do something you'll be prompted to log in. Now I happen to already be logged in, I want to speak to some things related to your token and how to reset your token in order to login. But before I do that, let me
speak to some of these buttons here and I think I've got a slide on this as well.
Yeah, I'm kind of going out of order here, but oh well. So I've got a slide related to these different buttons INSERT, UPDATE absurd delete export and export all
Just as reference. These are the buttons here. There's also a hard delete. Don't worry about that but
So the main thing here is that, just bear in mind that when you're inserting records. These are all new records that you're inserting into Salesforce. So you want to be sure
That these R amp D new records and not existing records, otherwise you will insert duplicates into your Salesforce instance
Updates would be edits that you make, and anytime you're working inside of the Data Loader or the data import wizard for that matter.
You're dealing with one specific object typically as far as any records that you're updating or inserting
And so for updating you could, for example, if you had a CSV file of that fortune 500 CSV file and you made some changes to it.
You could do an update and then you would do that by clicking update and then go through the process of updating those corresponding records and Salesforce.
Now for absurd. I mentioned the word absurd because that's a term that may be new to many of you. That is a combination of inserting new records and updating existing records.
Now, how do you update or how do you update existing records inside of Salesforce.
Data Loader will have to have the Salesforce ID in order to know which records, you're wanting to update. So if there's an ID in the Salesforce ID column for
Those records, then those will be updated. If there's no ID there, then it's going to treat it as an insert, update, if the IDs or insert. If it's not, and then delete.
You could specify which records you want to delete and you could have where you can mass delete all your accounts are all your opportunities, all you would need
Is a list of those records in all you need is the Salesforce idea of those records.
Now, how you can get those records would be to do an export in order to get the idea of those records and then that final button export all includes your records that have been deleted as far as there's export and then export all so export.
Will export all records that haven't been deleted, now you're thinking, well, if it's been deleted. It's gone. That's not the case. If it's deleted it sits in the recycle bin for up to 15 days.
And then poof, it's like a hard, delete, it's gone and can be recovered then export all means that you cannot export, for example, all account records not only those that are not deleted but those that are deleted as well.
Let me do this. Let's see, trying to think how I log out of this, they
Are some going to file and log out and they regret this. But I've, I've logged out of the Data Loader ok now let's look at some things related to logging into the Data Loader now if I
Try to insert records. Now, now that I'm logged out on prompted to log back and there's two options here off a lot for Lawson authentication.
Or password authentication. Now I want to talk about this option of password authentication because it gets a little confusing. You can just simply type your password in here and I'll show you this fear.
Of type in my password. If I click Login. It says error check username and password if you still can't log in.
Contact in this contact your administrators getting chopped off your Salesforce admin.
Now I've had it failed login and tip I want to show you what that looks like on the user side and this is something you will have to do
As you're troubleshooting people reporting that they can't log in and also if for you to know, okay, do I need to append my security token to the end of my passwords some
API tools such as the Data Loader typically will require you to not only put your password in but also your security token. So you would type in your password and you paste in your token. And I'll show you where to get your token here momentarily, but
If I go into Salesforce.
We're just going to set up home in one of my recent items is my user account. I was just looking at this, so I knew the one of the recent items.
And if I look at my user account and scroll down to the bottom, you see that I've got a failed login attempts and it says failed API security token required
So if you're ever working in an instance and you're using the Data Loader, for example, you're not able to log in, you can check here to see, okay, I need to add my security token.
And I previously had tried to login using the Data Loader before we went live here earlier and I just miss type the password. I had a security token, but the password is wrong. So
How do you get your security token in order to pin that to your password, password first and then you copy and paste in the token after the passwords. So you go and click the your profile icon your little
cartoon character here and then go into settings. So click on your personal settings.
And then we've looked at this section before this is your personal settings and there was something I needed to look at for display and layout. While we're here,
But you notice that there's reset my security token.
So what you need to do to get your security token, if you've not done this before, is click Reset security token. It's not going to hurt anything for you to click that.
That's the only way you can get to your token, it will be emailed to you for whatever email address that your user account is associated with so you can reset your security token.
And then I typically would save that and the text file somewhere on my computer because I would need that later whenever I need to use the Data Loader and then
So I've got mine saved in a text file. I'm going to go back to the Data Loader momentarily paste that at the end of my password field and login now.
One thing I need to do is I wanted to look while I was here in my settings on a look under display and layout and look under record pace settings.
So this is where I as a user can override the default that I as an admin previously set
And this is the activities few desktop only. So remember when we were toggling back and forth between activity timeline and Related lists.
You can go in or user can go in and override that set their own default to the opposite. If they want that would be done under my settings.
And then record pace settings under display and layout. So now back to reset my security token I do encourage you to reset your security token and check your email, get your token, as I get mine and mine is here. I'm not showing it but
Alright, so there is the token I look like an old mango good because I am an old man anyway.
Oh, I should have what I typed previously as my password. I'm just going to paste my token on the end of that and yes it is that long. It's a long string of characters we try and log in again and hopefully this works.
It says login successful, you got to know the little book right here. Because if you don't, it just looks like nothing happened. But once it successfully click Next.
And then. Alright, so we've reset our security token. And so let's say that I'm just trying to think of this would be a horrific idea. We may not be able to do this but
Let's say that we want to delete our automobile records. Okay. All automobile automobile records in our instance you notice
We have all of our Salesforce objects here, the standard objects and then any custom objects that are denoted with the underscore, underscore, see.
This infamous API name and that designation is designated with underscore, underscore, say, you know, said multiple times. That's why Salesforce uses behind the scenes and you see it from time to time using tools such as the Data Loader in this example now.
Did I click Export I did and I let me go back. Okay, so what I'm gonna do. Oh.
I click inserts, let me cancel out of that. Okay, so I cancelled out of that. Because what I want to do is I want to perform an export going to click export.
To cough developing it's not Corona, though. Don't worry guys have had a cough. It's another thing when my mom had a stroke. She also had a dry cough, who was week so it was like, okay, is it coronas a stroke. So we ended up emergency room or ambulance ride the stroke. So anyway,
Started on the lack of tests for the coronavirus anyway. We'll just move on. Alright, so I'm trying to export all automobile records in my instance I'm going to select audible bill.
Now you can browse to where you want this file to be exported. I'm just going to leave the default extract data CSV and click Next.
And that file already exists on my computer, wherever it is. So I'm just going to override by clicking. Yes. And now one cool thing is you can create what are known as Sokal queries by using
The Data Loader
And soco queries Salesforce object query language is something that comes up more for developers. But you as an admin can form a valid Sokal query by using a Data Loader
And I'm doing an export here. So let's say that we want to export the ID field. But you can also do other fields as well. And as you
Select these, you'll see the soco query down here below update. Pretty cool. Now you can clear all fields and I just in this instance, I want to just do a delete.
Of records. All I need is the Salesforce IDs. All I need is select ID from automobile automobile underscore, underscore, see now you can do further filtering, you could say, or create conditions where if it is deleted.
equals false, for example.
And add that condition. So now my sequel queries, select ID from auto bill. Where is deleted equals false, you can clear all conditions.
And it's more just, you don't need to worry about Sokal queries on the exam, but if you're ever tasked with are asked to create a sequel query. Just know that you can do this to the Data Loader. You can also do sockwell queries and create those through the workbench as well. Now,
I just want the ID of all automobile records in my instance I'm going to click Finish.
And saying that I've chosen to perform an export. Do I wish to proceed. Why, yes, I do. Thank you very much. So now I've had one successful extraction for my export and no errors. I can view the extraction
I have just one automobile record in my instance. Now this is kind of overkill for just one record, you would just go in and delete it.
But you could actually if you have thousands of records. You just need to delete them all and you will have occasions of doing this, believe me.
There's been times where I've accidentally created thousands of records and needed to very quickly delete them before anyone noticed. And so you can do
You can use the Data Loader to do an export of, for example, all opportunities created by Mike Wheeler with today's day. It gives you the ID, then
All of those records and then you could do a follow up from the export and then do a subsequent delete deleting all of those records with those IDs. Okay.
Alright so we got a question from Laura related to data loader.io I'll get to that here in a minute. That's good questions. So
Much for that extract that CSV went
But any who so then if I wanted to delete that record. I could select the object that the records belong to that want to delete and then browse to find the file.
You know, think I want to go hunting live on screen. So then you would just go through the process and you could delete using the Data Loader I'm going to cancel out of that though for sake of time.
And get to Laura's question here in a second, but
That's the idea of how you would do a delete is you've got to get the IDs of those records. First, and you would form your query with the different conditions.
So you get just the records that you're wanting to do. Wait. For example, if something can be deleted because of a related record that doesn't allow for deletion.
Those will air out and the ones that can be deleted will and there wasn't can't will be an error file.
And that gives you the ability to kind of wash, rinse and repeat this process because oftentimes when you're dealing with hundreds of thousands of records.
You will have maybe 10s of thousands of successes and 10s of thousands of errors.
You want to leave the ones I've succeeded alone, but you want to be able to peel away those that blew up or we're an error and deal with those accordingly.
So let's say out of 100,000 records 50,000 more successful 50,000 were a mess. You just take your error file and gives you the idea of those as well and gives you the error message. So what is wrong.
And you can go and update your data or turn off the validation rule or do whatever it takes to get those final
Those final things that you're doing such as deletions. In this example, the next time it may half of those may succeed half may fail.
And so oftentimes I'm dealing with five or six or seven iterations to get them all finally done.
You don't want to have to just start over from scratch. So you don't deal with the successes just focus on the errors.
And that way you can work your way down to where you just have a smaller and smaller subset to deal with. Which leads me now to Laura's question about data loader.io now data loader.io
Is now remember, we are currently in my settings menu which looks like the setup menu. If I were to search for Data Loader right and this is what I would do if I hadn't done this five times before.
You won't find it. So when you gotta do is you got to click on Home to go to the full set of menu. Okay, so if you don't see Data Loader, you've got to go in
To the full search by clicking home. And so then data loader.io is a nother tool. And it's a web based tool.
And Laura's saying that she's used data loader.io for exporting and importing but not this demoed embedded Data Loader app, how are they different which would you prefer on your experience and things so launching data loader.io I've used both
And I think that data loader.io
Here's where you would use if you can get away with using the free version of Data Loader died I oh there's certain limits here.
It is more user friendly than the tool that you've got to install locally on your machine, which is the Data Loader that we just looked at. Now there are limits to the number of records. You can only do 10,000 records a month so
If you're dealing with small amounts of data. I would say use data loader.io
If you're dealing with a million or more records a month or even 100,000 more month it's, I don't think it's worth pay $99 a month, I would go through the pain of just using
The regular Data Loader but they can do the same things. But if you're okay. So, another reason I would use data loader.io over
The Data Loader app that's installed is if you're needing to do scheduled tasks. And there are ways of using the Data Loader that's installed on your machine and scheduling tasks. For example, if you need to have
Records exported at 3am every day and FTP up to a server. There's ways of doing that through the command line interface on the Data Loader
tool that's well beyond the admin exam. Okay, this is more for architect type things that requires though that whatever machine that task is running on always be up and running.
Now typically most admins take their laptops home at night. I don't leave their machine running all the time, and it can be a real corporate pain in the, you know, one
To Get Data Loader installed on a server for the IT department to allow that. So if you're needing things
That are scheduled to be run or need to deal with more than hundred thousand records a month, then it might be worth may really be worth using. Data Loader diode to leverage some of the
Some of these things related to scheduled tasks and the FTP or Dropbox integrations as well. So anyhow, that's, that's my two cents on that. Good question. Laura.
But, but as far as those automated tasks and scheduling things and all that, that is beyond the scope of the admin exam. So don't
Don't worry about that a whole lot. OK. So those are the options for the Data Loader functions. And remember, you can create Sokal queries. Yay. And so let's talk about duplicate management now.
You can see the power of loading data, either to the data import wizard or the Data Loader. Now let's say for example you went to insert 500 records and
You meant to do an update. And this is very easy to do, let's say that you've got your fortune 500 CSV file.
And you've already imported all that data. So you've got your 500 accounts, the corresponding related 500 contacts for the CEOs of those 500 accounts.
And then in your infinite wisdom you decide, you know what, I have this checkbox on the account object. And I want to set that to true for all 500 of those accounts.
I know what I'll do, I'll take the same five fortune 500 CSV file. I'll just put true in that column and just copy and paste that down the 500 rows of that column and then I will do
A Data Loader to update that checkbox on those 500 records. And so you do that then we get to the Data Loader you forget to click Update.
And you click Insert instead. Now what happens is you just inserted 500 duplicate. Yes. You don't have good duplicate management in place.
Now if you wanted to do an update you would want to, you would need to have the Salesforce ID of those 500 account records.
So you would need to do a new CSV file, export those 500 account records, having the IDs and then knowing to click Update instead of insert
Or you can click absurd. If you want, but that way it would know. Oh, they're just updating
These 500 records. They're not inserting 500 new ones. It's very easy to introduce duplicates. That's why it's so important to have
Duplicate management in place and this accomplished through duplicate rules and matching rules. Now I'm going to give you some just high level information around duplicate rules will show you a little bit of this.
And is going to make your head swim. Okay, I'm just going to warn you right now.
But Duca rules. Just think of duplicate roles as like the parent and then matching rules reside inside of the duplicate rules. Okay, so it's not parent child so much but there's, I think of a more like
I guess would be like a suitcase and then the matching rules would be your socks. Okay, that's a stupid example but it works so duplicate rules. You can use up to five active duplicate rules per object. So, with most things and Salesforce.
It's at the object level. And so you can have up to five active rules and these are evaluated in a certain order and you can re evaluate these
Now I have worked on projects where I had to get really deep in the weeds as to how all this is scored and evaluated and
It's a lot of it's hidden as well for our own sanity sake but but with this complexity comes the need to be able to measure and tweak and adjust
Through use in by just having these rules out there in the wild in your own org
And then as well with matching rules you can include up to three matching rules inside of each duplicate role. So three mashing
Three matching rules and each duplicate rules five duplicate rules can be active per object kind of spills like trivia, and it is, but it is what it is now.
duplicate records sets are that mechanism, though, that will help you to see and tweak. If you're Duke that roles are working well or not. So I want to show you where those are found.
And how to see if you've had a potential duplicates fire in your org or not. Now I'm going to show you briefly how do good rules and matching rules work together. What's out of the box of Salesforce out of the gay and how you can adjust those as well.
In the app launcher.
The waffle, the three by three girl is a search for duplicate. So we got
So we have duplicate record sense. Now these are reportable and these are records that are created.
And what's so confusing here is the recently viewed and we need to create a new list view in order to get a view of all duplicate record set. So I'm going to click new and say all
I'm gonna say all users can see this was here and click Save.
All right, so filter by owner all duplicate record says I'm going to remove all so that
Okay, so there are no duplicate record sets, which means that we've not had any potential duplicates fire in our instance, I just wanted to find that out real quick.
And we're going to go a little long here because I've got a lot of ground to cover, and I bounced early last week. So this is a little bit of making up for that.
And I did check on mom during the break, and she was doing fine. So I think we're good.
Prices so I searched for
Here's my cough again.
Rules. There's a few out of the box. Now these are kind of cool. We've got just one act of duplicate role for the account object.
One for contact and one for lead inside of these individual
Roles are one or multiple matching rules. Remember that can be three matching rules per duplicate rule.
So for the account duplicate rule. I've got one matching rule for for contact and lead. I've got to matching rules because it's doing a standard contact matching and lead matching
The idea is, is that, for example, if I'm going in entering in a new lead record.
I want Salesforce to check. Are there any potential duties for leads and or contacts and vice versa, if I'm creating a contact owner look and see if there's any existing leads for this person already or not.
So you can dive into one of these duplicate rules. I'm just going to do the account, one that just has one corresponding matching rule few things to bear in mind or to note is you want to make sure
That it is active and I've highlighted that here. Otherwise, it's not going to work. And then as well. I want to draw your attention to this reorder link now there's only one duplicate rule.
If I were I can create up to five after duplicate rules project, though, so I may want to do some criteria and match on some other things.
And I may want to change the evaluation of these evaluating this one first, or the new one I create first, just know that you can reorder these up to five levels deep and it stops evaluating once it's found a match. So if it
It does matter which order these go in as well and
Then another thing to note is
There's so there's so much to this and I can't do it justice. Suffice to say I do go into a lot of this in the assignments, but some things to really draw your attention to is this concept of enforcing sharing rules.
You can either enforce sharing rules or ignore them, meaning if I am for sharing rules this matching the significant role.
Is only going to fire based on potential duplicates that I have access to, as a user, if I don't enforce sharing rules.
Then it's going to find potential duplicates. It's not going to reveal who those are if I don't have access to those records but
It can say there's potential duplicates and basically you just can't see them because you don't have a proper from sharing rights now.
You can indeed alert users as to a potential duplicate
And or you can report them reporting those potential duplicates means that it's going to create a duplicate record set that was what we were looking at earlier.
So you can specify to alert or not alert and to report or not report now there's a lot you can do here. But let's look at the matching rule that's associated with this.
Is a standard account matching rule is active and with the standard roles. There's more information on how these work in the help and this is where it really gets real deep in the weeds. As far as the scoring and how it all works. I'm trying to pull up this helps take a second.
As you can see, this is the standard account matching rule, for example, let me
Not go too deep into this but you can see these different threshold amounts. They do all these different fuzzy matching and it will make your head swim. Now I'm really get getting a cost here.
Let's do this. I've got a standard. I've got a few
Let's try a contact let's definitely get a potential duplicate to fire shall we, um,
And click the cells application.
So for Betty bear
Is saying here, and this is a component that you can actually add to any landing page is a potential duplicates component
And it appears here. We found no potential duplicates of this content. And what I want to do is only copy this email address and then I want to create a new contact record and make a duplicate
And show you what happens here, new contact
It's really easy to introduce it gets inside of Salesforce, if you're not careful, especially when you're using mass update mass insert through Data Loader, for example. Now, let me put an email address the same
Now it's alerted me upon create if you remember we were looking at some of those settings on those duplicate rules. You can alert and you can report and upon creation was set to alert and report.
So we can view the duplicitous not save this year so we can view the duplicates and see, oh, here's a matching duplicate. We can either open this contact or you could say.
You know what, that's okay. I'm gonna go ahead and click Save.
So it does allow me to create the duplicate, you could block the user through the setup of the duplicate role to not allow it. So now this updates to say we found one potential duplicate of this contact you can view the duplicates here. So now here's the two duplicates.
And you can merge them. And so we need to
Choose the contact records that we want to compare in order to do the merge. So we want to select both of these slow confusing. I know, but click Next.
